Optima are looking for a Receptionist on a fixed term contractto assist and support the Office Manager with the accomplishment of business needs. The role will involve supporting all departments in administrative tasks and to assist with the maintenance of the personnel, QHSE and other systems.
The Successful candidate must have an excellent telephone manner, a methodical and organised style of work, be competent in prioritising, enjoy working to deadlines, be able to cope under pressure and possess a positive “can do” attitude,. The candidate must possess Intermediate level of IT skills, specifically MS Office applications (MS Word, Excel, Outlook) software packages. Previous relevant experience of reception and office administration essential.
KEY DUTIES AND RESPONSIBILITIES (include but not limited to):

TETRA / OPTIMA is looking for an experienced Office Manager, based at their premises located in Cove, Aberdeen, Scotland.
The successful candidate will be responsible for all office administration processes, and maintaining an efficient and professional office enviorment at Optima, and (going forward) in the new premises also in Cove, for both Optima & TETRA UK. This role will invole travelling between the Optima and TETRA UK office, based in Dyce. Requirement is for a candidate that is highly experienced in office administration and facility management. The successful candidate should be able to demonstrate problem solving experience in a challenging environment. Personal skills such as having a pleasant and inquisitive nature, and genuinely wishing to help make a difference, would be highly desirable.
The successful candidate needs to have versatility, tenacity and confidence, be capable of dealing with multiple tasks within tight timeframes, and manage changing and conflicting priorities. You will be required to interact and communicate confidently and effectively with groups of managers, fellow employees, customers and suppliers. Extensive previous work experience at Office Manager level is essential. In this role you will be required to write professional business correspondence in a variety of media therefore it is essential that you have extensive work experience to this effect. It would be desirable if the successful candidate had experience of Facility and IT management as well as being involved in coordinating previous office moves. Must possess intermediate to advanced level IT skills, specifically Microsoft Word, Powerpoint and Excel software packages. This role will supervise a team of administrators and be involved in their career development through coaching and on the job training.
Essential Duties and Responsibilities including but not limited to the following:
As the role of Certification Co-ordinator you are responsible for the continuous monitoring and recertification co-ordination of all rig cooling equipment, ensuring Optima's high quality service standards are delivered on time and to Optima's ISO 9001:2008 standard.
Key activities and tasks:
Yard Assistants (Application form has to be completed)
OPTIMA are looking to recruit Yard Assistants to join their warehouse team. In this role you will need to be organised and reliable for all aspects of the warehouse operation including service and maintenance of offshore equipment. You will be required to maintain stock levels and documentation packages as a routine part of the job.
Offshore Technicians (Application form has to be completed)
Candidates will be required to install, commission and operate Rig Cooling™ systems offshore on an Ad Hoc basis. When not offshore, the successful candidates will be required to carry out the service and maintenance of equipment in our Aberdeen Base.
Offshore Mechanical Technicians (Application form has to be completed)
Candidates will be required to install, commission and operate Rig Cooling™ systems offshore on an Ad Hoc basis. When not offshore, the successful candidates will be required to service and maintain the fleet of Optima’s diesel driven Hydro-Boost™ centrifugal pumps in the Aberdeen Base.
